In this blog, we will explore:

What are lab audits?

Digital Lab Platforms and Regulatory Compliance

Enhancing data security with digital solutions

Practical tips to prepare for lab audits

A success story insight
‍

What are lab audits?

Lab audits are systematic examinations of laboratory operations to ensure compliance with regulatory standards and internal policies. They play a crucial role in maintaining data integrity, ensuring safety, and enhancing the overall quality of lab work. Audits can be internal, conducted by the laboratory itself, or external, performed by regulatory bodies. Regardless of type, the goal is to verify that the lab's processes and records are accurate and compliant.

Challenges in traditional processes

Traditional lab audits often involve manual processes that are prone to errors. They can significantly impact the accuracy and reliability of the results. Handwritten records can be difficult to read due to poor handwriting or fading ink, making it challenging to extract precise information. Paper-based documentation is also susceptible to loss or damage from environmental factors like water or fire, which can further complicate data retrieval. These challenges can lead to inconsistencies, making it difficult to trace data and verify compliance with established standards.

Compiling and reviewing records can become incredibly time-consuming and labor-intensive without digital tools to streamline these processes. This inefficiency can leave labs vulnerable to costly delays in reporting, potential regulatory penalties for non-compliance, and a reduced ability to quickly respond to inquiries or audits. In an era where accuracy and efficiency are paramount, these traditional methods may no longer be sufficient for meeting the rigorous demands of today’s scientific and industrial landscapes.

The importance of traceability

One of the key aspects of lab audits is traceability, which refers to the ability to track the history, application, and location of records or samples used in the lab. This process ensures that accountability is maintained and all information can be accurately retrieved. In traditional audits, achieving traceability is often a cumbersome process, requiring meticulous record-keeping and detailed documentation. Lab personnel must spend significant time manually logging every step of their work, ensuring that each entry is complete and correct. Without the aid of digital tools, the risk of human error increases, which can compromise the audit's outcomes by introducing inconsistencies or inaccuracies. Such errors can lead to incorrect conclusions or regulatory non-compliance, making the audit process less reliable and more stressful for those involved.

Digital lab platforms and regulatory compliance

Automated documentation

Digital lab platforms like SciSure offer automated documentation features that significantly enhance accuracy and efficiency. By digitizing records, labs can eliminate manual errors and ensure that data is consistently recorded. This automation streamlines the documentation process, reducing the time spent on manual entries. Digital platforms like SciSure allow for real-time updates, ensuring that all records are current and accurate, making record retrieval and review during audits seamless.

Audit trails and version control

Maintaining detailed audit trails and version control is essential for compliance. Digital lab platforms provide these features, allowing labs to track every change made to a record. SciSure's comprehensive audit trails ensure that all modifications are documented, providing a clear history of data management. This transparency is invaluable during audits, ensuring that every update is accounted for and easily traceable.

Regulatory alignment

Digital platforms align with regulatory frameworks such as FDA 21 CFR Part 11 and ISO standards. This alignment ensures that labs are compliant with industry requirements, reducing the risk of non-compliance. SciSure is a prime example of a platform that integrates these standards, providing labs with the tools needed to meet regulatory demands effectively. SciSure’s electronic lab notebook supports FDA 21 CFR Part 11 alignment with electronic signatures and detailed audit trails, helping labs reduce the burden of audit preparation. Its robust features ensure labs can consistently achieve compliance, simplifying the process of adhering to rigorous standards.

For more on how digital standard operating procedures contribute to consistent compliance, check out our SOP blog.

Enhancing data security with digital solutions

Security features

Data security is a top priority for laboratories, and digital platforms offer robust security measures. Features such as encryption and access controls safeguard sensitive information from unauthorized access. Ensuring data security is critical for maintaining integrity and confidentiality.

's data center and network security features, including multi-layered firewalls, secure data transport, and continuous monitoring, ensure compliance with data protection regulations and robust protection against unauthorized access and data breaches.

Role-based access control

Role-based access control (RBAC) is an important security feature that digital platforms provide. RBAC allows labs to assign specific access permissions based on user roles, ensuring that only authorized personnel can access sensitive data. This feature enhances security by minimizing the risk of data breaches and unauthorized access.

Advanced encryption

Digital lab platforms employ advanced encryption techniques to safeguard data. Encryption ensures that data is protected during transmission and storage, reducing the risk of unauthorized access. By implementing encryption, labs can enhance the security of their data and maintain compliance with industry standards.

Practical tips for preparing for lab audits

Pre-audit preparation: To ensure a successful audit, labs should leverage digital tools for documentation and compliance readiness. This involves organizing records, ensuring all documentation is up-to-date, and conducting mock audits to identify potential issues. By preparing in advance, labs can streamline the audit process and minimize disruptions.

Ongoing training: Regular staff training is essential for maintaining compliance. Labs should ensure that all employees are familiar with digital lab platforms and compliance protocols. Training programs should cover the use of digital tools, data management practices, and regulatory requirements. Ongoing education helps staff stay informed and prepared for audits.

Continuous improvement: Digital tools facilitate continuous improvement in lab operations. By analyzing audit results and feedback, labs can identify areas for enhancement and implement changes to improve efficiency and compliance. This proactive approach ensures that labs remain competitive and compliant in an ever-changing regulatory landscape.

Philadelphia, PA - With a moniker like “Cellicon Valley,” exceptional academic institutions, a skilled workforce, and steadily growing infrastructure, it’s no surprise that Philadelphia was recently ranked as the #5 life science hub in the U.S. One component supporting Philadelphia’s growing and active biotech community is the lab and office space, essential for providing a physical place that fosters the growth of the many promising startups in the community.

With all the excitement around the growth of the scientific community in the City of Brotherly Love, the Cambridge Innovation Center (CIC) opened a coworking wet lab space to give scrappy startups a place to let their auspicious ideas flourish.

“What’s special about CIC’s space in Philly is that it accommodates early-stage scientists with passion and data to support their ideas,” says Kelsey Henderson, the Lab Development Lead at CIC. “We enable them to come in and rent a single bench on flexible terms, have it for a month, and focus on raising capital to expand their operations.”

CIC’s approach has been incredibly successful, allowing CIC to provide adjustable support to pre-seed companies, several of which have grown from a few benches to a private lab space of over 35 lab benches. This philosophy extends to CIC’s other locations as well: With coworking spaces located in biotech hubs around the globe – including Boston, Cambridge, Providence, St. Louis, Miami, Tokyo, Rotterdam, and Warsaw – CIC operates to provide their innovators with the maximum chance to impact the life sciences and the many other industries CIC serves.

Providing Support for the Next-Generation of Life Science Companies

But physical space is only part of the equation for the companies that CIC serves.

“A lot of our clients are academic spinouts,” explains Kelsey, “so it's a big step for them to start in a new co-working or private lab space. We’ve organised our labs to provide scientists with things to help them and accelerate their progress.”

That includes various amenities, including an in-house lab management team that handles equipment and consumables ordering, regular lab coat and facilities cleaning, hazardous waste disposal, and many others. In addition, CIC provides an extensive collection of shared molecular and cell biology equipment – including flow cytometers, high-performance liquid chromatography (HPLC), cell sorters and separators, tissue culture facilities, ultra-low temperature (ULT) freezers, digital PCR (dPCR) platforms, and various cell imaging platforms – available for unmetered use. This enables startups to access vital equipment without raising the capital to purchase it.

“We always try to focus on making decisions that support our scientists,” Kelsey shares. “CIC recently doubled the footprint of our physical lab space in Philadelphia because we wanted to accommodate the continued growth of our current cohort.”

Digital Infrastructure that Fosters Growth

Beyond the lab space, shared equipment, and personnel support, many companies need a digital infrastructure to grow and scale efficiently. To help the scientific teams at their Philadelphia site, CIC partnered with eLabNext so that residents could access an all-in-one electronic lab notebook and sample, equipment, and protocol management tools, enabling complete digitalization of a lab.

“We’ve had clients use eLabNext’s digital lab platform at our site before, so we talked to them about how we could best support our community,” says Kelsey. “We worked out a sponsorship agreement so all of our shared wet lab clients can access the software at a discounted rate, allowing them to see how it performs in their workflows and integrates into their SOPs. With our focus on enabling clients’ growth, we wanted to provide them with products that help them do that. Choosing eLabNext’s platform was a no-brainer.”

The eLabNext platform also provides a growing library of add-ons to expand the software's functionality and facilitate startups to tailor it to their needs.

“One of the most attractive features of partnering with CIC was the alignment around the same values: aiding innovation, elevating research, and doing so in a vibrant ecosystem with incentivized programs, says Zareh Zurabyan, Head of eLabNext, Americas. “We know that providing a robust digital lab strategy to a startup will not only set them up for successful fundraising, reproduction of experiments, and data mining, but it will impact their business strategy and facilitate innovation. With all the new amazing artificial intelligence/machine learning advances that are now available, labs want to be able to diversify their tools. We can provide that to them directly with our Digital Lab Platform and our eLabMarketplace. These are very exciting times, and we are excited to work with all the CIC labs!”

Philadelphia's reputation as a thriving life science hub is well-deserved, and the CIC has played, and will continue to play, a significant role in supporting the growth of the city's biotech community through physical and digital infrastructure.

eLabNext is now at the CIC Philadelphia site.

When you ask biotech professionals where the top biotech hubs in the U.S. are, Boston is at the top of most lists. But the Massachusetts biotech scene is much more than just Kendall Square and the Greater Boston metropolitan area.

When you ask biotech professionals where the top biotech hubs in the U.S. are, Boston is at the top of most lists. But the Massachusetts biotech scene is much more than just Kendall Square and the Greater Boston metropolitan area.

Far from the long shadow cast by Boston, Central Massachusetts, particularly the city of Worcester, has grown into a robust and vibrant biotech hub of its own.

“If Worcester were in any other state, it would be the powerhouse cluster of biotech companies, workforce, and lab space,” exclaims Melina Reid, Operations Associate at Massachusetts Biomedical Initiatives (MBI), whose goal is to build up Worcester and the Central Massachusetts region into an energetic and unique centre for biotech startups. “Because we’re so close to Boston,” she continues, “We are sometimes dwarfed by its reputation and size.”

In innovative fields like biotech and biopharma, bigger isn’t always better. Over the past few decades, Boston has become a hotbed of competition for lab space, skilled personnel, and attention where only later-stage companies and global corporations can engage. For these larger companies, being in Boston is essential. As a result, early-stage startups with tighter budgets and “outside-the-box” ideas start at a significant disadvantage, overshadowed by established behemoths with heaps of money and resources to maintain and expand their footprint.

Establishing Infrastructure and a Thriving Ecosystem

The MBI is focused on making Central Massachusetts a welcoming home for creative startups with solid ideas. To help them get their footing in the industry, the MBI provides cost-effective, high-quality laboratory space and support services. Assistance goes beyond the “seed stage,” as MBI doesn’t limit how long a company can spend in its incubator space. Furthermore, they offer a graduation space to support startup growth further as they advance toward commercialisation.

“Our approach has been successful,” Melina observes. “As the Commonwealth’s longest-running non-profit startup incubator, MBI has supported over 175 companies through graduation from their space, with more than 14 companies going on to IPO or getting acquired by companies such as Pfizer, Perkin Elmer, Vertex Pharmaceuticals, and Charles River.”

Over the past few years, the MBI has expanded its capabilities and initiatives to fill the many needs of biotech startups. They were pivotal in bringing the Reactory – a high-quality, cost-effective, custom biomanufacturing facility – to the Worcester biotech community. They are currently building a pilot Biomanufacturing Center that will provide lab space for companies to go from “concept to clinical trials.”

The MBI has also launched initiatives to establish a skilled and excited workforce, with partners like AbbVie, to support Central Massachusets’s growing life science community. “We’re heavily involved in increasing diversity in STEM through partnerships with local middle and high schools and community and state colleges,” explains Melina. “For example, we’ve helped Quinsigamond Community College establish their Biomanufacturing Technician program for adults looking to break into the biotech field. By encouraging the next generation of young minds to pursue science careers, we are doing our part to create a solid workforce for the continued growth of Central Massachusetts biotech.”

Accordingly, Worcester was chosen as #15 on the Top 25 Life Sciences Research Talent Clusters list, just below mega-metropolitan areas such as Houston (#13) and Atlanta (#14).

Fostering More Efficient R&D for MBI’s Startup Community

While the MBI is constructing a framework in Worcester and Central Massachusetts to support community growth, the infrastructure inside the lab needs to be solid to enable efficient and effective management of a startup’s most important asset: its data.

To this end, the MBI has partnered with eLabNext – which provides digital data management platforms to laboratories – so that startups and later-stage companies can fully digitise their operations.

“We’re excited to be a preferred vendor for MBI,” says the Head of eLabNext in the Americas, Zareh Zurabyan. “Our Digital Lab Platform (DLP) helps labs of all sizes improve the efficiency of their workflows, quality of their data, and security utilising LIMS/ELN features and even AI/ML tools for data science in the day-to-day. Ultimately, we see that defining the lab’s digital strategy right from the beginning, through lab digitalisation, accelerates timelines and drives progress for the many startups making Central Massachusetts their biotech home.”

The eLabNext platform serves various life science and chemistry laboratories in government, academia, and industry, making it a perfect fit for MBI’s startup environment, which includes companies in cell and gene therapy, chemistry, and other scientific specialities.

Through this partnership and the ongoing efforts of the MBI, Central Massachusetts is positioned to continue its expansion as a vibrant ecosystem for biotech startups.

eLabNext’s digital lab platform can now connect to Cellenics, a cloud-based analytics tool that can process, analyse, and visualise single-cell RNA-seq (scRNA-seq) data. With the Cellenics add-on, biologists can effortlessly generate publication-ready figures from count matrices in just a few days without writing a single line of code.

Uncovering heterogeneity with single-cell techniques

Increasingly, the heterogeneity in complex biological systems is being interrogated through single-cell sequencing technologies. This knowledge is advancing scientists’ understanding of basic biology, disease states, and the safety and efficacy of therapeutics. ScRNA-seq has been essential for powering these insights, enabling researchers to discover minor yet meaningful cell populations with robust biological impact. Single-cell methods further help comprehensively characterise cell and gene therapies that revolutionise the treatment of many diseases, including cancer.

Yet, processing, analysing, and visualising scRNA-seq data can be complicated, particularly for scientists who don’t have experience with coding or operating complex bioinformatics pipelines. This barrier limits the impact of single-cell techniques, making data analysis and visualisation inaccessible to many scientists in the life science industry.

Effortless exploration of scRNA-seq data

By partnering with Biomage, eLabNext has integrated the Cellenics tool as an add-on to its comprehensive, all-in-one digital lab platform, eLabJournal. Cellenics enables scRNA-seq data to be uploaded with the simple click of a button. Once uploaded, researchers can perform in-depth processing, quality control, and examination of their data, including differential expression, biomarker, and pathway analysis. Cellenics offers a user-friendly interface explicitly designed for biologists, with pre-loaded plots that make it easy to visualise results or export them for manuscript preparation.

Faster collaboration through integration

Integrating directly with eLabJournal, the Cellenics add-on makes it easy for research partners and collaborators to share raw scRNA-seq data, processed data, or data visualisations. eLabJournal helps improve laboratory efficiency and elevate research by providing an infrastructure for data management. In combination with Cellenics, eLabJournal makes analysis, management, visualisation, and sharing of scRNA-seq data less complicated and more straightforward.

About Biomage

The Activation Energy Problem: Why Scientific Platforms Fail Before They Even Start

If there's one unspoken challenge that keeps scientific organizations from realizing the full value of digital transformation, it's this:

If there's one unspoken challenge that keeps scientific organizations from realizing the full value of digital transformation, it's this:

Activation energy.

Not the kind you learn in chemistry — the kind that sits between wanting to improve your scientific operations and actually doing it. The hidden cost of implementation. The friction of change. The organizational resistance that never gets listed in the project scope but always shows up in the post-mortem.

Whether you're rolling out an ELN, LIMS, EHS, or a full Scientific Management Platform (SMP), your biggest obstacle isn't just configuration or integration — it's the energy required to get everyone moving in the same direction, at the same time.

That activation energy comes in two forms. And both need to be addressed systemically if you want to scale successfully.

1. Technical Enablement: Making the System Disappear

This is the infrastructure side. The SX (Scientific Experience) layer. It’s the difference between “yet another tool” and “the one place where everything just works.”

Technical enablement is all about reducing the cognitive and operational cost of adoption.

What it requires:

Modern, intuitive UX: If it looks like 2006, it will be treated like 2006 — abandoned, avoided, or misused.

Role-based simplicity: Scientists, QA, admins, and IT all need tailored views and workflows — not one-size-fits-none interfaces.

Automated templates and guided workflows: Give users a “blank slate” and you create friction. Give them structured paths with smart defaults, and they’re halfway to value.

Integration with existing tools: Systems must connect to the broader lab tech stack — instruments, inventory, analytics, regulatory systems — without needing duct tape.

Search and retrieval that just works: If data isn’t findable, it isn’t usable. Period.

System performance and uptime: Nothing undermines adoption faster than latency or downtime.

Technical enablement isn’t about training — it’s about creating a system so usable, so contextual, and so reliable that training becomes supplemental, not survival-critical.

2. Behavioral Enablement: Process is the Product

The second half of the equation — and arguably the harder one — is behavioral enablement. This is where strategy, project management, and change leadership either bring the rollout to life… or bring it to a halt.

It’s not enough to “go live.” You have to orchestrate behavior.

What it requires:

Strong project management: A platform is only as good as the plan behind it. That means clear milestones, ownership, timelines, and cross-functional alignment.

Phased implementation: Don't try to digitize an entire organization in one wave. Focus on quick wins, pilot teams, and staged rollouts that build momentum.

Stakeholder onboarding and buy-in: Scientists don’t adopt platforms because it’s in the SOP. They adopt because they see how it solves their problem. That’s a communication challenge, not a configuration one.

Champions and feedback loops: Internal champions keep the momentum alive. Feedback loops keep the product aligned with reality.

Process documentation and discipline: You’re not just adopting software — you’re redefining how the lab operates. That needs structure, governance, and a shared playbook.

Great platforms don’t transform organizations. Great implementation processes do.

The Real Cost of Ignoring Activation Energy

Here’s what happens when technical and behavioral enablement are treated as afterthoughts:

Adoption stalls

Data remains siloed

Workarounds multiply

ROI is delayed or lost

Users revert to legacy tools out of habit

Leadership loses trust in the digital vision

And here’s what happens when activation energy is treated as a strategic requirement:

Scientists engage with the platform because it’s faster than their old way

Project stakeholders see measurable progress within weeks

Data becomes actionable, not just archived

Compliance improves as a side effect of clean workflows

The platform becomes a daily tool, not a quarterly status update

Conclusion: Activation Energy Is the Real Competitive Advantage

Success with digital lab platforms doesn’t come from features. It comes from removing the friction to adopt them.

If you want your SMP to stick, you need to engineer for activation energy — both technically and behaviorally. That’s where the real work lies. And that’s where the real ROI is found.

The best labs don’t just implement technology — they implement enablement as part of the product.

Because at the end of the day, the platform isn’t just software — it’s how your scientists experience the future of science.

Deep Dive: Technical Enablement Is the Foundation of Scalable Science

Too often, technical enablement is treated as a box to check — a couple of trainings, a few walkthroughs, and a basic system login. But true technical enablement is far more strategic: it's about architecting a digital lab environment where scientists want to work, where data is inherently structured, and where value compounds with each day of use.

At its core, technical enablement is about reducing friction, increasing clarity, and enabling action.

1. Templating the Scientific Workflow — So No One Starts from Zero

The first, most immediate lever for technical enablement is smart templating. Scientists should never be staring at a blank screen or guessing what to log. Pre-built, validated templates provide structure, speed, and consistency across the organization.

Here’s what should be templated at launch:

Sample Types
Standardized sample metadata ensures consistent registration, searchability, and traceability — whether it’s cell lines, reagents, compounds, or environmental samples.
Templates define required fields, dropdown values, units, and relationships to other objects.

SOPs (Standard Operating Procedures)
Digitized and version-controlled SOP templates turn regulatory liability into operational strength. Templates should include inputs, expected outputs, dependencies, and embedded safety or compliance checkpoints.

Experimental Templates
For repeatable protocols, structured templates allow scientists to record procedures in a standardized, auditable way — while still capturing nuance where it matters. Think: CRISPR edits, assay development, protein purification, etc.

Equipment and Instrument Logs
Pre-built templates for instrument calibration, usage tracking, and maintenance logging ensure compliance, reduce downtime, and integrate instrument outputs into experimental context.

Daily Experimental Notes
Customizable ELN entries with pre-populated sections (e.g., Objective, Materials, Results, Observations, Troubleshooting) help reduce note fatigue and promote real-time data capture.
Templating isn’t just about productivity — it’s about enforcing best practices at scale without slowing scientists down.

2. Marketplace, APIs, and SDKs — Building an Ecosystem, Not a Silo

No single system can (or should) do everything. The most successful platforms are those built to integrate — seamlessly and flexibly — with a lab’s broader digital ecosystem.

Modern Scientific Management Platforms must offer:

Open APIs: RESTful APIs that allow teams to push and pull data from external systems — enabling two-way sync with everything from inventory management to analytics dashboards.

SDKs (Software Development Kits): Developer-friendly SDKs give internal informatics teams and external partners the ability to build lightweight, purpose-built tools that extend platform functionality without waiting for core product updates.

Marketplace Integrations: A healthy ecosystem of plug-and-play apps — for data visualization, reporting, analytics, regulatory submission formatting, and more — accelerates time to value and reduces IT dependency.
In short: the platform should serve as a connective hub, not a walled garden.

3. Instrument and Automation Integration — From Bench to Bot

Technical enablement isn’t just about data entry — it’s about capturing structured data at the source.

That means integrations with:

Analytical instruments: Whether it's HPLCs, LC-MS, PCR machines, plate readers, or flow cytometers, raw output must be automatically ingested, tagged, and contextualized within the experiment it belongs to.

Lab automation tools: Robots and liquid handlers (e.g., Tecan, Hamilton, Opentrons) need direct hooks into sample tracking and experimental workflows — enabling closed-loop execution and reducing human error.

IoT and environmental sensors: Real-time feeds from temperature monitors, incubators, and cleanroom controls should be integrated into the experimental timeline — ensuring reproducibility and compliance. This is where technical enablement turns into true lab intelligence — where the system doesn't just capture what happened, but knows what happened, when, and why.

4. Downstream Integration — Bridging Preclinical and Clinical

The value of data doesn’t stop at the bench. For organizations with translational or clinical goals, the ability to integrate upstream scientific data with downstream clinical systems is essential.

Critical areas for integration include:

Clinical Data Warehouses (CDWs)
Connecting assay data, biomarker findings, and patient-derived samples to broader clinical outcomes for longitudinal analysis.

Regulatory and Submission Tools
Seamless export of formatted data for IND/CTA filings, adverse event reporting, and compliance documentation.

eTMF and CTMS Systems
When preclinical data feeds directly into trial planning, protocol development, and patient stratification models, organizations accelerate time-to-trial and reduce duplication.

Biostatistics and Real-World Data Platforms
Connecting experimental outcomes with population-level insights enables data-driven decisions for formulation, dosing, and indication expansion.

The goal of technical enablement is not just scientific efficiency — it’s scientific continuity. From sample to submission. From bench to bedside.

In Summary: Technical Enablement is Strategic Infrastructure

If your platform isn’t templated, connected, and automated, it’s not enabling science — it’s just documenting it.

True technical enablement means creating an environment where great science can happen — faster, cleaner, and with less friction. And that starts not with configuration, but with vision.

Because when infrastructure is aligned with how science really works, adoption isn’t forced. It’s inevitable.

Behavioral Enablement: The Human Side of Scientific Transformation

Every system rollout lives or dies by one thing: people.

You can have the best-designed platform, the cleanest API architecture, and the most scalable data model — but if your team isn’t using it, none of that matters.

This is the invisible layer of implementation success. Behavioral enablement isn’t about the tech — it’s about how humans experience, adopt, and internalize change.

In scientific organizations, where habits are entrenched, teams are resource-constrained, and legacy systems are institutionalized, behavioral enablement becomes not a “nice to have,” but a critical success factor.

Here’s how to engineer it.

1. Resistance to Change: Anticipate It, Normalize It, Defuse It

Change resistance isn’t a sign of failure — it’s a sign of human nature. Scientists are methodical by training. Introducing new tools means perceived risk, uncertainty, and disruption.

Common signs:

“We’ve always done it this way.”

“The old system works fine.”

“This is just another tool that’ll be gone in 6 months.”

Solutions:

Acknowledge resistance early. Make it part of the rollout narrative. “Change will be hard, but here’s why it matters.”

Position the platform as a tool for scientists, not leadership or IT. Frame it as empowering, not controlling.

Show value early. Identify pilot teams and quick wins that can be publicized internally.

Leverage peer voices. Champions from within are more persuasive than mandates from the top.

Behavioral adoption begins when scientists believe this isn’t about compliance — it’s about competence.

2. Training Protocols: From One-and-Done to Ongoing Learning

One of the biggest mistakes in implementation is treating training as a moment — not a journey.

Best practices:

Role-based training tracks
Don’t train everyone the same. Create tracks for scientists, QA, IT, managers, and admins with focused, relevant content.

Multi-format delivery
Offer videos, live sessions, written SOPs, interactive walkthroughs, and knowledge base articles. Let users engage at their own pace, in their own style.

Training content embedded in the platform
Use tooltips, modals, and hover guides directly within the system. Keep users in flow.

Just-in-time learning
Tie content to specific milestones. For example: “First time creating a protocol? Here’s the 3-minute video.”

Gamify adoption
Celebrate milestones. Track usage in dashboards. Create light competition between teams.

Training is not about pushing information. It’s about making confidence feel inevitable.

3. Support Infrastructure: Deliver Help Before It’s Asked For

Without visible, available support, minor friction becomes major frustration.

Support systems that work:

Dedicated Slack channels or Teams groups for internal users to ask quick questions.

Tiered support models: Internal super-users handle the first line. Vendor support escalates edge cases.

Self-service knowledge base that’s searchable, modular, and tailored to your workflows.

Office hours with the vendor or internal leads for hands-on help.

Internal change agents or “platform ambassadors” who serve as the go-to person in each department or site.

The rule: support should feel local, responsive, and invested — not outsourced, bureaucratic, or slow.

4. Vendor Collaboration: This Is a Partnership, Not a Procurement

Vendors should not be passive ticket-takers. The best implementations come from co-creating value with your platform provider.

What strong collaboration looks like:‍

Weekly check-ins with vendor-side PMs and CS teams

Shared project management tooling (e.g., Asana, Monday, Jira)

Joint implementation playbooks aligned to your lab’s real workflows

Customization requests shaped by your goals, not just templates

Executive alignment between your leadership and theirs

If your vendor isn't willing to roll up their sleeves and help manage the human aspects of change, you're not buying software — you're buying shelfware.

5. 3rd Party Services: Buy Time, Not Just Expertise

Sometimes internal teams don’t have the bandwidth to manage the change effectively. That’s where expert service partners come in.

When and why to leverage them:

During high-velocity phases of growth or M&A

When launching multiple modules or integrations at once

When internal project management or training resources are thin

When a neutral, external facilitator is needed to bridge teams

Think of 3rd party consultants as force multipliers — helping you scale adoption, training, and integration with fewer internal trade-offs.

6. Generational Change: Adapting to How Scientists Actually Work Today

There’s also a generational layer to behavioral enablement.

Many early-career scientists have zero tolerance for clunky, outdated, unintuitive tools. They expect digital experiences to be fast, intuitive, and user-centric — like the apps they use everywhere else.

To adapt:

Embrace mobile and cloud-first tools

Make UX a non-negotiable evaluation criterion

Create communities of practice — places for young scientists to share tips, workflows, and hacks

Involve younger team members in platform design decisions and pilot testing

Digital transformation is not just about systems — it’s about aligning your lab with the culture of the next generation of scientists.

In Summary: Behavior is the Bottleneck — and the Breakthrough

Great science isn’t just driven by tools. It’s driven by people who are empowered to use those tools — with clarity, confidence, and purpose.

Behavioral enablement isn’t about nudging. It’s about engineering environments where adoption is the default, not the exception. Where change is not endured, but embraced.

You don’t just need a better platform.

You need a better playbook for how people experience change.

That’s how scientific organizations don’t just digitize — they evolve.

‍

This article was originally published by eLabNext prior to its integration into SciSure. SciSure was formed in 2025 through the merger of eLabNext and SciShield.

AOByte recently started a new partnership with eLabNext, an all-in-one lab management software. eLabNext solutions help to improve the quality of the research by providing all-around tools for any lab. Due to its rapid expansion, eLabNext has decided to release an SDK, allowing developers to create new add-ons that other users can install on the eLabNext dashboard. Add-ons allow users to integrate 3rd party software into dashboards, software such as Dropbox, Google Drive, etc. Add-ons also enable users to add functionality to their dashboard without waiting for their desired functionality to be released by eLabNext.

Our company is proud to accompany eLabNext on its journey. Seeing a growing demand, we’ve decided to share part of our journey of creating custom add-ons. This article is a good place to start if you’re interested in eLabNext add-on development.

Starting Add-on Development

To start add-on development, you must first turn on Developer mode from settings. Navigate to Account Settings > Developer. Developer mode is turned on by simply toggling the switch. In turned-on Developer mode, the SDK will attempt to inject an add-on JavaScript file from the “Add-on script URL” on the page load. A single JavaScript file will be loaded at runtime on page load each time you browse the eLabNext dashboard.

Now, let’s try to create a simple add-on. Before jumping into coding, here are two valuable resources: eLabNext SDK documentation and eLabNext REST API documentation.

Use the Download Template from the Developer settings page to create an empty add-on. This is a working sample add-on, which can be fed to the SDK via an HTTP server of your choice. Our team is using a NodeJS-based http-server for development purposes. The add-on below achieves a simple task of displaying the tasks table in the dashboard. It also allows users to create and delete tasks.

‍

/*

@rootVar: SAMPLE_ADDON

@name: Sample

@description: Sample addon

@author: Stepan Smbatyan

@version: 1.0.0

*/

var SAMPLE_ADDON = {};

((context) => {

context.init = (config) => {

   $(() => {

     context.SampleAddon = new context.SampleAddon(config);

   });

};

context.SampleAddon = new Class({

   Implements: [Options, Events],

   Extends: eLabSDK.Base,

   options: {},

   initialize: function (config) {

     // Store a reference to the function's context

     var self = this;

     // Set the options for the application using the provided configuration

     self.setOptions(config);

     $(document).ready(() => {

       const currentPage = Helper.History.get('pageID');

       const pageID = currentPage || new URLSearchParams(window.location.search).get('pageID');

       renderTaskPage();

       if (pageID === 'tasks') {

         getTasks().then(({ data }) => {

           renderTaskTable(data);

           addDeleteBtnListener();

         });

       }

     });

   },

});

// #TODO: remove context.init() when upload as add-on to marketplace

context.init();

})(SAMPLE_ADDON);

// ======================================= DOM =======================================

/**

* Renders the task list UI by updating the browser history, creating a button and table,

* filling the table with task data, and updating the main content section with the table container.

* @param {Event} e - Optional event object.

One of the crucial things to remember while creating an add-on is prioritizing using SDK and API methods over custom code. A good example will be rendering buttons or making HTTP requests. By using the methods provided by SDK, you can be assured, e.g. buttons will have correct styling, or all the necessary headers will be appended to your HTTP request.

More Complex Add-on Development

Obviously, most of the add-ons that will be created will be more complicated than this example. Naturally, while delivering more complex features, developers would like to use the power of breaking code into modules, minimizing code for production, writing test cases for their code, and using all the other advantages of modern web development. While working on the add-ons, we’ve created a boilerplate add-on, allowing users to achieve a project structure, packaging, testing, etc. The project can be found on GitHub.

Remember that the eLabNext SDK is gaining momentum; thus, the documentation needs to be completed. Please contact our team if you find yourself in a situation where help might be required. Our team will continue writing about the eLabNext add-on development process. We will cover topics like submissions of add-ons to eLab Marketplace, tips and tricks of eLabNext add-on development, talking about more complicated features development, and so on.
